Shipping Hydraulic Parts from China to Russia: Lead Times and Customs
“How long does it take from China?” has no single answer. Lead time depends on supplier stock, transport mode and the quality of the documents. Here is how the process works in practice, and where delays usually appear.
Set the boundaries first: YDC Trading is an independent supplier, not a manufacturer or a freight forwarder. We supply on EXW terms. Our responsibility ends when the goods are made available to the buyer or their forwarder at the agreed place in China. The buyer arranges export clearance, freight and import clearance. We prepare product documents and provide information, but we do not carry the goods.
How an order moves from enquiry to handover
- Enquiry. You send the part number, a nameplate photo, quantity and destination city. If the number is unknown, send photos of the component and its dimensions.
- Availability check. We ask the supplier for stock and lead time, check fitment and propose an equivalent where needed.
- Quotation. We confirm the EXW price, readiness date, payment terms and condition: new, refurbished or equivalent.
- Payment and purchase. After confirmation, we place the order with the supplier. See the payment section below.
- Consolidation and packing. We check marking, completeness and packing. Photos before dispatch are available on request.
- Handover. The goods are released under EXW. The buyer or forwarder controls the route from that point.
Typical shipments include hydraulic pumps, hydraulic motors, seal kits and seals. For heavy components, weight and dimensions affect the choice of transport long before the goods are ready.
Lead times: 7–30 days is purchasing, not the whole journey
Quotations often say “7–30 days”. This usually means from payment to readiness at the supplier, not door-to-door delivery. Transit and customs are separate.
| Stage | Guide | What drives it |
|---|---|---|
| Availability check and quotation | 1–3 working days | Completeness of the part number, supplier workload, equivalent matching |
| Purchase and preparation | 7–30 days | Supplier stock, minimum order quantity, production |
| Consolidation and documents | 2–5 days | Number of lines, packing, export paperwork |
| Transport | 5–50 days | Air, rail or sea; route and season |
| Import clearance | 1–5 days | Document completeness, HS code, customs queries |
Where a supplier holds stock, purchasing usually fits within 7–30 days. Obsolete or made-to-order parts can take longer. We give an estimate after checking the item, not before.
Air, rail or sea
The choice depends on urgency, weight and budget. Hydraulic parts are dense and heavy, so air freight is often more expensive than buyers expect.
| Mode | Typical transit | Best for | Limitations |
|---|---|---|---|
| Air | 5–12 days | Urgent small shipments; expensive downtime | High cost per kg; weight and size limits |
| Rail | 18–30 days | Medium consignments to Moscow, Yekaterinburg and other hubs | Schedules, border crossings and weather |
| Sea | 30–50 days | Heavy and bulky cargo, low urgency | Long transit, port queues, consolidation |
These are guides, not guarantees. Routes, schedules and rates change, so the buyer’s forwarder confirms the actual transit time. Sea freight usually suits heavy pumps and housings, but it needs more planning.
Documents, customs and payment through VTB
Documents you will need
- proforma invoice and commercial invoice;
- packing list with weights and package count;
- contract, if required by the bank or declarant;
- certificate of origin, if requested;
- technical data, nameplate photos and information for classification;
- EAEU permits or certificates, where they apply to the goods.
Customs: no promises and no percentages
Duties, VAT and fees depend on the HS code, country of origin, current rates and the customs decision. We do not publish specific percentages or guarantee classification; the declarant or broker confirms it. Serial imports may require EAEU certification or declaration depending on the product and its use. Check this before payment, not at the border. One shipment may contain an A10VSO pump, a 4WE6 valve and a PVG 32 section; these are different customs items, so the invoice needs exact part numbers and descriptions, not just “hydraulic spare parts”.
Payment through VTB (Shanghai)
Payment usually goes by bank transfer through VTB (Shanghai) to the details shown on the invoice. Availability and the value date depend on the payer’s bank and compliance checks. We confirm the currency, details and terms before issuing the invoice. Bank procedures can add several working days; that is a normal part of the process, not a supply failure.
How to prepare an enquiry and save a week
- Complete part number from the nameplate, without abbreviations or lookalike digits.
- Nameplate photo — often safer than a typed number.
- Two or three photos: overall view, ports and marking.
- Machine model and, if available, serial number.
- Quantity and whether an equivalent is acceptable.
- Destination city and preferred transport mode.
- Company details for the invoice: legal name, tax ID and address.
- Required date, so we can say at once whether it is realistic.
The more complete the enquiry, the fewer follow-up questions. If the number is unreadable, send the mounting-face dimensions and a photo of the connector; this can speed up identification.
Five common delays
- an incomplete or mistyped part number;
- the item is not actually in stock at the supplier;
- invoice and packing list disagree on weight or quantity;
- a bank compliance check takes longer than expected;
- customs asks for extra documents or a classification review.
Seasonality matters too: Chinese New Year, the early-May holidays and the New Year logistics peak all add days to a standard lead time. Build in a buffer if the part is needed for a fixed date.
Frequently asked questions
Can I order a single part?
For many catalogue items, yes. The minimum order quantity depends on the supplier and the item, so we confirm stock and quantity for the specific part number.
Is delivery included in the price?
No. The price is EXW and excludes freight, export clearance and import charges. The buyer or forwarder arranges transport; we help with the product documents.
Do you guarantee the delivery date?
No. We give an estimate and update the status as the order progresses, but the date depends on the supplier, carrier and customs. Promising an exact door-to-door date before handover would not be honest.
Do I need an EAEU certificate?
It depends on the product and its use. Ask your broker before payment. We provide the manufacturer documents that are available, but we do not issue certificates or guarantee a customs outcome.
Need to check stock and lead time?
Send the part number, a nameplate photo and the destination city. We will reply with availability, the EXW price and an estimated lead time, and explain which documents are needed.
